Overview
The Talent & Culture Assistant will play a key supporting role within the Talent & Culture (T&C) team, providing day-to-day administrative and operational assistance across a variety of functions. This role is ideal for a highly organized and adaptable individual who thrives in a fast-paced environment and is eager to support evolving team priorities and initiatives. With a strong focus on coordination and execution, you will assist with tasks such as maintaining employee records, supporting recognition and wellness programs, and contributing to talent acquisition and onboarding activities. You will also provide general administrative support to the team, helping to ensure smooth operations and positive employee experience. As part of a small and collaborative team, this role requires a proactive mindset, strong attention to detail, and a willingness to step in wherever needed. Priorities may shift, and tasks may vary, so flexibility and a team-first approach are essential. This position offers valuable exposure to a broad range of HR functions and is well-suited for someone looking to grow their skillset while contributing meaningfully to team success.
The expected base salary range of this position is $53,000 – $60,000. Our salary ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for new hire salaries for the position based in our U.S. and Canada office locations. Within the range, individual pay is determined by various factors including location, job-related skills, relevant experience, education, formal training, and internal equity.
Contract Length: 15 months (Approximately)
Please Note: In-office attendance is required for up to the first 6-months of training and the position may be eligible for a hybrid schedule following the training period depending on team needs.
Accountabilities
- Supports the Talent and Culture (T&C) team in the planning, execution, and maintenance of various T&C projects, programs, and initiatives throughout the year, ensuring seamless implementation and timely completion.
- Actively contributes to numerous T&C initiatives and functions, including (but not limited to) assisting with department credit card reconciliations, document creation and management, audits and reporting, recognition and wellness programs, and recruitment and onboarding/offboarding processes.
- Serves as a primary point of contact for all employees across multiple locations, promptly addressing T&C inquiries and directing them to the appropriate resources within the T&C department.
- Manages comprehensive employee records, maintaining both physical and digital files to ensure compliance with employment regulations and company policies, consistently updating records as needed.
- Supports with multiple recognition programs, such as peer-to-peer recognition (World of Thanks program), timely award/gift distribution across all office locations.
- Administers the company credit card program, including maintaining member information, providing policy guidance to employees, promptly addressing inquiries and issues, administering monthly credit card reconciliations, tracking charges and invoices, and ensuring timely submission of reports; performs tracking and auditing of human resources-related invoices, facilitating timely submissions of payment.
- Provides support to employees on various programs, including time-off requests, ensuring accurate record-keeping in the HRIS system (ADP), and proactive management of total vacation liability reports and requests; generates detailed reports as required, serving as an expert resource for the T&C team.
- Supports the talent acquisition process, including sourcing, screening, interviewing, and onboarding candidates, while ensuring a seamless and positive candidate experience throughout. This position may also support the development of role descriptions, job postings and market evaluations as needed.
- Provides support in coordinating and facilitating various meetings and events, including company-wide gatherings, employee engagement sessions, training workshops, and wellness activities, both in-person and online.
- Performs document creation of detailed and confidential letters, ensuring clarity and accuracy, and proper administration; this may include support with the creation of adhoc communications as requested.
- Organizes and documents meetings and video conferences as required, capturing minutes and documenting key action items and takeaways.
- Supports with Oppy fundraising and social initiatives to promote a positive organizational culture.
- Supports with completion and successful submission of US and Canadian government regulatory audits and reporting as required.
- Supports timely entry of accounting related data into the ERP system within tight weekly and monthly cut-off deadlines.
- Provides supports to all other assigned functions and ad hoc projects and initiatives as required.
Required Knowledge & Abilities
- Working knowledge of general human resources processes and best practices. Experience with HRIS programs would be considered an asset.
- Proficient in Microsoft Office Suite applications (including Outlook, Word, Excel), as well as database management skills and meticulous record-keeping capabilities.
- Exceptional written and verbal communication skills, allowing you to clearly convey information, adapt your message to your audience, and ensure alignment across a variety of stakeholders.
- Strong interpersonal and customer service skills, with a natural ability to build relationships, collaborate across teams, and create positive, supportive interactions.
- Strong organization and time management skills; ability to prioritize multiple demands in a timely manner without compromising the quality or accuracy of work.
- Self-motivated with high standards and attention to detail; ability to set priorities and work accurately within tight deadlines in a team-oriented, fast-paced environment.
- Ability in exercising good judgement while maintaining confidentiality; demonstrates a high level of integrity, ethics, and professionalism at all times.
- Possess a proactive approach to identifying opportunities for process improvement, optimizing workflow efficiency, and achieving team objectives within the organization.

- Proven ability to work within a team effectively; shows “can do” attitude in supporting and collaborating with the different functions within the T&C team.
Required Qualifications
- Degree, diploma in Human Resources, Business Administration or related field or a combination of equivalent education and experience.
- Minimum 1 – 3 years of office administrative and customer service experience within a team environment.
- Human resources management experience is an asset.
