Overview

The Operations Coordinator plays a vital role in ensuring the smooth and efficient transport of imported and domestic perishable products across North America. This position requires the application of independent judgment and discretion in coordinating logistical activities, ensuring compliance, and addressing operational challenges. Responsibilities include facilitating product movement from ports and distribution points to storage facilities or customers and maintaining compliance with government regulations. The role also contributes to process improvements and operational strategies, aligning day-to-day activities with broader organizational goals. Through strong attention to detail, problem-solving, and collaboration, this role is instrumental in maintaining the integrity of the supply chain while delivering exceptional service to all stakeholders.

Accountabilities

  • Coordinates the timely movement of perishable products from ports to storage facilities across North America, ensuring accuracy and efficiency while supporting cost containment and continuous process improvements.
  • Independently evaluates and resolves logistical challenges, including discrepancies in shipment progress or documentation, to maintain operational continuity and prevent delays.
  • Collaborates with internal teams and external partners (port operators, cold storage facilities, transport companies) to align logistical activities with organizational objectives and ensure seamless day-to-day operations.
  • Supports internal customers by assisting with sales, inventory, and finance reconciliations, promoting a high level of customer service and operational excellence with both internal and external stakeholders.
  • Communicates with and manages relationships among key partners, including port operators, transport companies, and cold storage facilities, to ensure all daily activities are completed on time and within budget. May assist with negotiating port-to-storage freight rates under established guidelines.
  • Monitors compliance with cold storage requirements and government regulations, ensuring accuracy in documentation and assisting with market-based cost controls to support operational budgeting efforts.
  • Coordinates marine cargo claims by managing proforma filings, scheduling surveys, and ensuring accurate documentation and product traceability. Follows up with all parties to achieve timely and successful claim resolutions.
  • Maintains accurate and organized records of import documentation, including vessel summaries, shipping reconciliations, temperature logs, invoices, and regulatory certificates, ensuring compliance and readiness for audits.
  • Monitors compliance with cold storage requirements and government regulations, ensuring accuracy in documentation and assisting with market-based cost controls to support operational budgeting efforts.
  • May assist with container port arrivals in Eastern Canada and other locations as required, completing associated processes and documentation to ensure smooth operations.
  • Performs other related support activities as needed and proactively identifies opportunities to enhance operational processes and address emerging challenges.

Required Knowledge & Abilities

  • Intermediate knowledge of port-to-storage coordination concepts, methods, and practices, including the ability to independently manage logistical workflows and contribute to process improvement strategies.
  • Intermediate knowledge of import/export government regulations and compliance requirements, with a demonstrated ability to address operational challenges and ensure alignment with policies.
  • Strong understanding of supply chain processes, including logistics, quality control, and cold storage requirements, with experience in optimizing workflows for perishable products.
  • Proficiency in Microsoft Excel, Word, and Outlook, with the ability to analyze data and develop actionable insights to support operational decisions.
  • Exceptional time management and organizational skills, with the ability to independently manage priorities, meet deadlines, and adapt to fast-paced environments while maintaining accuracy.
  • Highly effective written and verbal communication skills, with the ability to clearly convey complex information, actively listen, and engage with stakeholders to ensure alignment and collaboration.
  • Proven problem-solving and analytical skills, with the ability to independently identify, evaluate, and resolve complex logistical and compliance issues.
  • Strong attention to detail, ensuring accuracy in operational documentation, reporting, and communication to meet organizational and compliance standards.
  • Demonstrated ability to work autonomously and collaboratively under pressure, exercising sound judgment to resolve issues and contribute to operational efficiency.
  • Flexible availability, including the ability to work evenings, weekends, and/or holidays as needed, and occasional travel within the area, with adaptability to changing priorities and environments.

Ideal Qualifications

  • Degree, diploma, or related industry training in supply chain, logistics, or operations is an asset.
  • Minimum, 2 – 4 years of experience in logistics, port operations, or supply chain coordination, with a focus on perishable products preferred.
  • Certification in supply chain or logistics (e.g., APICS, CPIM, CSCP) is considered an asset.
