Overview
The Executive Assistant is a highly trusted partner who provides proactive, strategic, and detail-oriented administrative support to an assigned functional area or executive leader(s), enabling them to focus on high-impact priorities. This role goes beyond traditional administrative functions, acting as a key liaison between the executive office and internal/external stakeholders while ensuring seamless coordination of day-to-day operations. Operating with a high degree of professionalism, discretion, and confidentiality, the Executive Assistant manages complex calendars, prepares and reviews executive communications, coordinates travel and meeting logistics, and supports critical initiatives across the business. The ideal candidate is resourceful, anticipatory, and adaptable, skilled in prioritization, time management, and navigating competing demands in a fast-paced environment. The Executive Assistant fosters cross-functional collaboration, builds strong relationships at all levels, and is energized by creating structure, streamlining processes, and making the lives of those they support more efficient and impactful.
Accountabilities
- Provides an advanced level of administrative support to assigned executive leader(s) and manager(s), including preparing correspondence and reports, compiling and submitting expense reports, managing documentation, and handling other priority tasks as required.
- Strategically manages executive calendars, proactively resolving conflicts and aligning schedules with key business priorities to optimize time and productivity.
- Coordinates details of meetings and events ranging from internal check-ins to large cross-functional planning sessions. Facilitates effective meetings by preparing, pre-reviewing, and circulating materials in advance, and ensures timely follow-up on action items.
- Maintains accurate and detailed meeting notes, calendars, and documentation to ensure consistency, accountability, and accessible reference for all stakeholders.
- Acts as front-office reception, managing a small volume of incoming calls and facilitating positive visitor experiences, including scheduling and welcoming guests as needed.
- Leads general office administration, including supply management, vendor communications, and coordination with facilities or property management on maintenance and issue resolution. Fosters a clean, well-organized, and welcoming office environment.
- Prepares and organizes domestic and international travel arrangements for individuals or groups, ensuring adherence to corporate travel policies and clear communication of itineraries and logistics.
- Exercises a high degree of discretion, sound judgment, and confidentiality in handling sensitive information, internal communications, and executive-level matters.
- Builds and maintains strong relationships across departments and with external partners to support seamless coordination and executive visibility.
- Drives team building and morale activities, coordinating seasonal celebrations, appreciation events, and office-wide initiatives to foster engagement and a positive team culture.
- Prioritizes competing requests with poise and professionalism, ensuring urgent matters are handled swiftly and with attention to detail.
- Utilizes Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), video conferencing tools, and internal systems to create presentation materials, manage calendars, and streamline communication.
- May provide backup and support to the broader executive team as required.
- May support sales manager(s) with updating reports, compiling sales matrices, coordinating national sales meetings, and assisting with communications.
- May provide accounting and administrative support as needed, including vendor set-up, invoice routing, and troubleshooting file issues.
- Other ad hoc responsibilities as assigned.
Required Knowledge & Abilities

- Skilled in active listening and anticipating needs proactively; takes initiative and guides actions toward successful outcomes where appropriate.
- Exercises sound, independent judgment and maintains strict confidentiality in all matters.
- Highly developed written and verbal communication skills; able to compose executive-level correspondence, presentations, and documentation using best practice business writing principles.
- Demonstrated strength in organization, prioritization, and multitasking, and capable of independently balancing complex priorities, shifting demands, and tight timelines.
- Strong problem-solving skills with the ability to evaluate competing needs, identify gaps, and propose efficient solutions.
- Flexible and adaptable team player who thrives in fast-paced, evolving environments.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Proficient in collaboration and productivity tools such as Microsoft Teams, Zoom, and Concur for scheduling, communication, and travel and expense coordination.
- Experience coordinating complex events and executive-level meetings, including offsites and high-profile internal and external engagements.
- Comfortable preparing briefing documents and supporting high-level meetings, including board or investor-related sessions.
- Demonstrated discretion and agility in supporting executives through organizational change, confidential initiatives, or high-impact strategic planning.
- Willingness to occasionally work outside typical business hours to support executive needs or special events.
- Experience in a corporate, multi-location, or global environment considered an asset.
Required Qualifications
- Diploma or degree in business administration, communications, or a related field, or an equivalent combination of education and relevant experience.
- Minimum, 5 – 8 years related progressive experience supporting senior executives in a dynamic, fast-paced environment.
- Bilingualism in English and Spanish considered an asset.
