Overview

The Operations Assistant plays a pivotal role in ensuring the efficient movement of perishable products across North America. Leveraging your exceptional organizational skills, you will coordinate the accurate and timely processing of essential documentation and oversee the transfer of goods from ports to storage facilities and directly to customers. This dynamic position involves negotiating with transport entities, managing relationships with port and cold storage operators, and ensuring compliance with all regulatory requirements. Your attention to detail will be crucial in preventing disruptions in the supply chain, while your proactive approach will aim to improve logistics processes and enhance overall customer satisfaction.

Accountabilities

  • Efficiently manages the logistics of perishable product transfers from ports to storage facilities throughout North America, including coordination of daily logistical activities, freight negotiation, claims processes, and management of all associated documentation; ensures smooth transitions of goods from arrival points to their final destinations, monitoring deliveries to confirm receipt.
  • Manages marine cargo claims from initial filings to the coordination of surveys and documentation, ensuring traceability and timely resolution.
  • Maintains meticulous records of all import documents, including vessel summaries, shipping reconciliations, temperature logs, invoices, and freight charges.
  • Supports internal teams with sales, inventory, and finance reconciliations, maintaining a high standard of customer service for both internal and external stakeholders.
  • Maintains effective communication and fosters strong relationships with key logistics partners including port operators, cold storage facilities, and transport companies.
  • Ensures adherence to all relevant cold storage requirements and governmental regulations.
  • Engages in other related tasks as needed to support the smooth functioning of the operations team.

Required Knowledge & Abilities

  • Knowledge of the concepts, methods, standards and practices of port-to-storage coordination.
  • Knowledge of the concepts, methods, standards and practices of import/export government regulations and related procedures.
  • Knowledge of the product supply chain including manufacturing, quality control and warehousing.
  • Proficient in Microsoft Office Suite applications (including Outlook, Word, Excel).
  • Exceptional interpersonal, communication (written & verbal) and customer service skills.
  • Ability to work effectively with multiple departments and forge strong relationships within the category team and all other stakeholders.
  • Strong organization and time management skills; ability to prioritize multiple demands in a timely manner without compromising the quality or accuracy of work.
  • Self-motivated with high standards and attention to detail; ability to work accurately within tight deadlines in a team-oriented, fast-paced environment.
  • Ability in exercising good judgement while maintaining a high level of integrity, ethics, and professionalism at all times.
  • A proactive approach to identifying opportunities for process improvement, optimizing workflow efficiency, and achieving team objectives within the organization.
  • Positive and engaging attitude, with a commitment to fostering an inclusive, supportive, and fun working environment.
  • Ability to work evenings, weekends and/or holidays if required; ability to travel occasionally within the area.

Required Qualifications

  • Degree, diploma in supply chain, logistics, or related industry.
  • Minimum, 1 – 3 years of experience in port to storage management/coordination preferred; previous fresh produce and/or perishable commodity experience is an asset.
