Overview
Reporting to the Operations Supervisor, the Operations Assistant will effectively coordinate the timely and accurate processing of documentation required to transport imported and domestic perishable products across North America. Your remarkable organization skills will be high in use as you facilitate the movement of products from seaports and other distribution points to cold storages and/or to customers. Your great attention to detail will help ensure that all release requirements and processes are met to avoid delays and interruptions to the supply chain. You will join an energetic team of professionals in a role that offers variety and challenge in a fast-paced and dynamic industry.
Accountabilities
- Facilitates the movement of perishable products from port to storage facilities across North America in a timely and accurate fashion. Seeks to contain costs and improve current processes.
- Coordinates port activities to facilitate the transfer of products from discharge/arrival locations to storage/customers in the most time effective and economic manner. Monitors product delivery to confirm receipt.
- Assists internal customers with sales, inventory, and finance reconciliations. Promotes a high level of customer service with both internal and external customers.
- Manages communication and relationships with port and cold storage operators, transport companies, and internal staff to coordinate all daily activities in a timely manner. May negotiate port to storage freight rates.
- Oversees the compliance of all cold storage requirements and government regulations. Monitors market-based cost controls, and assists with operational budgets.
- Coordinates marine cargo claims including proforma filings, survey scheduling, supporting documents and claim product traceability. Ensures all documents are in place and follows up with all parties to ensure timely and successful claim filing.
- Maintains an organized and accurate record of import documents including, vessel summaries, shipping reconciliations, temperature records, invoices, and freight charges.
- May cover Eastern Canada container port arrivals with associated processes/paperwork.
- Performs other related support activities as required.
Required Knowledge & Abilities
- Knowledge of the concepts, methods, standards and practices of transportation in the produce industry.
- Knowledge of the product supply chain including manufacturing, quality control and warehousing.
- Knowledge of the relevant computer systems, network and telecommunications technology, applications, tools and equipment.
- Exceptional interpersonal, communication (written & verbal) and customer service skills; ability to work effectively with multiple departments and forge strong relationships within the transportation team and all other stakeholders.
- Strong organization and time management skills; ability to prioritize multiple demands in a timely manner.
- Proven negotiating skills with an ability to effectively develop new business opportunities while understanding and working around potential obstacles.
- Self-motivated with high standards/attention to detail; ability to set priorities and work accurately within tight deadlines in a team-oriented, fast-paced environment.
- Knowledge of the relevant computer systems, network and telecommunications technology, applications, tools and equipment.
- Ability to work evenings, weekends and/or holidays; ability to travel occasionally within the area.
- Positive and engaging attitude, with a commitment to fostering an inclusive, supportive and fun working environment.
Required Qualifications
- Degree, diploma in supply chain, logistics, or related industry preferred; training in agri-business is an asset.
- Minimum, 1 – 3 years of experience in port to storage management/coordination preferred.
- Previous fresh produce and/or perishable commodity experience is an asset.
